Building a Complete Undergraduate Application File: An Agent Checklist

A complete file moves quickly. An incomplete one sits in a queue while emails go back and forth. This checklist is written for counsellors who prepare undergraduate applications to Texas State University on behalf of students in any market.

The core documents

• Secondary school certificate and transcripts. Official copies covering the full programme of study, with an English translation where the originals are in another language.
• English proficiency evidence. IELTS 6.5, TOEFL iBT 78 or Duolingo English Test 105 for direct undergraduate entry. Students without a score can enter through the TSIE English pathway instead.
• Passport biographical page. The name on the application must match the passport exactly — this is what the I-20 and the visa will be issued against.
• Financial documentation. Evidence of funds covering the first year, in the name of the student or a named sponsor.
• Application fee. USD 90 for most degree-seeking applicants.

Details that quietly cause delays

None of these are complicated, but each one regularly costs a week or more:

• Name order. Given name and surname reversed between the application, the transcript and the passport creates a matching problem that a human has to resolve manually.
• Unofficial scans. Photographs of documents taken at an angle, cropped edges, or files where the school stamp is not legible.
• Translations without certification. A translation should be complete and attributable, not a summary.
• Bank letters that state a balance but no currency, or that are older than the period the university accepts.

Helping the student choose a programme

With more than 200 degree programmes, the shortlist matters more than the application form. Three questions usually settle it:

1. Does the student want a career outcome in the United States after graduation? If yes, look first at STEM-designated programmes, which qualify for up to three years of OPT work authorisation.
2. Is the family budgeting to a fixed annual figure? Share the published cost of attendance rather than an estimate — see our costs and scholarships page.
3. Is the student academically ready for the subject, or would a broader first year serve them better?

Before you submit

Read the file once as if you were the admissions officer receiving it. Is every page legible? Does the name match across all documents? Is the funding figure clearly above the requirement? If the answer to all three is yes, the file will almost always move without follow-up.
