How the TXST Intake Calendar Works for Recruitment Partners

Most application problems we see are not weak profiles. They are timing problems: a transcript that arrives three weeks late, a financial document issued in the wrong name, a visa appointment booked after orientation has already started. This guide sets out how the Texas State University calendar actually runs so your team can plan backwards from the intake instead of reacting to it.

Two intakes, one rhythm

Texas State University admits international students for two main intakes:

• Fall — classes begin in August. This is the larger intake, with the widest choice of programs, housing and orientation activity.
• Spring — classes begin in January. Smaller, faster-moving, and a good fit for students who missed Fall or who finish secondary school mid-year.

Exact application deadlines vary by program and can change year to year, so always confirm the current dates with the International Office before you publish them in your own marketing.

The 6–9 month runway

Counting backwards from the first day of class, a comfortable timeline looks like this:

1. Months 9–7: profile review, program shortlist, English test booked or TSIE pathway agreed.
2. Months 7–5: application submitted with transcripts and English scores; financial documents prepared.
3. Months 5–4: offer issued, deposit and documents completed, I-20 requested.
4. Months 4–3: SEVIS fee paid, visa appointment booked, interview coaching.
5. Months 3–1: housing application, insurance, flights, arrival plan and orientation.

Students who start later can still make an intake, but the margin for a missing document disappears. If a family comes to you inside three months of the start date, it is usually better to plan for the next intake than to gamble on a visa appointment.

Where timelines break

• Credential documents. Official transcripts and certificates take longer to obtain in many markets than families expect. Start this on day one, not after the offer.
• English results. A retake can cost four to six weeks. If a student is borderline, prepare the TSIE English pathway as a parallel plan rather than a fallback.
• Financial evidence. Documents that do not clearly show the required funds, in the sponsor's name, are the single most common reason an I-20 is delayed.
• Visa appointments. Availability varies enormously by post and by season. Book as soon as the I-20 arrives.

What to put in your own planner

We recommend partners keep a simple internal tracker per student with five dates: documents complete, application submitted, offer received, I-20 issued, visa interview. If any of the five slips by more than two weeks, escalate to the International Office early — options are much wider before a deadline than after it.
